About this contract

Requirements: The university seeks to hire conference facilities at a Leeds city centre venue at which to host a series of events in support of its student recruitment activity. Offer-holder Day events include a Welcome, academic taster session, presentations about student life at LTU and student finance. The events will give prospective students insight to their future higher education experience being delivered out of the university's new City Campus, located at Trevelyan Square, and with accommodation in nearby Clarence Dock. Event calendar: All events run 0900h-1300h and will take place on: • Saturday 2nd March • Saturday 6th April • Saturday 27th April • Saturday 18th May Rooms Required: Access to rooms will be required 0800-1400h to allow set up and clear away either side of the events a) Reception area - to receive and register guests on arrival. b) Large Room - for plenary sessions, particularly the Welcome Address, and taking lunch. • capacity 75 persons. • laid out lecture style. • AV presentation equipment • public Wi-Fi • fully accessible c) 5x Breakout Room - for academic taster sessions. • capacity 30 persons each room • laid out classroom style. • AV presentation equipment, • public Wi-Fi • fully accessible Services Required: • Refreshments buffet offering Tea & Coffee and water, to be available on arrival, and again at lunch. • Packed lunch for 75 people to be taken away at 1300h. • On the day venue support to be available for queries about the venue, H&S, help with equipment, setting out catering, accessibility etc. Tenderers are asked to provide: • Their quotation, including all applicable costs, whether noted in the specification above or not. • Confirmation of VAT exempt status. • Description of the rooms, facilities, catering, and services offered. • Service levels and key performance indicators • Details of the venue location relevant to City Campus, Trevelyan Square and Clarence Dock.
