About this contract
The National Lottery Community Fund is currently rolling out a replacement grant management system, built upon Salesforce as the underlying platform technology. The requirement outlined in this tender is for document generation services requirement for Salesforce - specifically, a cloud-based solution that: 1) Provides automatic merge functionality enabling us to merge fields from Salesforce standard and custom objects (eg contact details, organisation details, programme name, amount awarded) into templates. The finished output is expected to be generated in either .docx, .xlsx or .pdf formats (depending on what we require for the situation). 2) Supports templates (eg in .docx format) containing standard copy and specific fields for merge functionality. (For illustration, we prepare documents for offer letters and reports prepared in advance of panel meetings.) 3) Supports conditional processing within templates - for example, if Salesforce field 'A' contains value 'X', then use paragraph text 'P'; if value 'Y' then use paragraph text 'Q'. 4) Works based on automatic triggers rather than manual action. Our requirement is that on a given event, document generation should be triggered. Example: moving a funding request to 'Offer' status to trigger a workflow that automatically generates an offer letter, with all relevant Salesforce fields merged and included within the document. 5) Is natively integrated with the Salesforce platform, rather than needing to be administered outside of Salesforce. 6) Is provided and billed on a per-event / per-document basis rather than on a per-user basis. 7) Is a cloud-based, software-as-a-service solution that does not require installation of any additional software on Fund machines. 8) Works whether Salesforce Shield Platform Encryption is enabled or not. From a service level perspective, we require a solution backed by at least a 99.5% uptime service guarantee. We anticipate requiring between 6,000-10,000 'events' or 'triggers' per year - in other words, an automatic trigger resulting in the generation of a document containing merged Salesforce fields.
